The Senior Bid/Proposals Manager has the responsibility of managing all phases of the company’s proposal process and oversees all proposal activities to develop compliant, complete, responsive, competitive, high-quality proposals and presentations.

Systra seeks an energetic and highly motivated self-starter to join our Systra KSA Team. This role reports to KSA Operations and Bids Director. 

Main duties


  • Full ownership and leadership of the proposal planning, kick-off, development and delivery process.
  • Provides a clear, structured, logical, proposal plan and schedule to confidently arrive at a winning proposal result.
  • Development of bid budget and schedule baseline, and management of bid team performance according to the agreed baselines. •
  • Drives compliance with corporate governance and approval processes, without exception.
  • May lead capture planning / win-strategy planning sessions.Collaborates with the Capture Manager throughout the entire proposal development process.
  • Facilitates risk workshops, together with the risk management team.
  • Develop graphical content (organization charts, info graphics, photographs) with project team and graphics specialists, according to the company’s approved style guidelines and ensures a consistent look and feel for all outgoing bids.
  • Anticipates and mitigates potential risks to proposal submission, ultimately ensuring 100% on-time delivery of the proposal approvals.
  • Coordinates the integration of supplementary proposal solution information from partners and/or subconsultants.
  • Owns the production, packaging and delivery logistics of the proposal to ensure timely submission per client’s requirements.
  • Leads the quick turnaround, coordination and development of post tender clarifications.
  • Leads the post tender bid presentation development and preparation to guide the team to a winning outcome.
  • Ensures the proposal closeout process is performed accurately and completely to support business financials and sales forecasting reporting.
  • Participates in the development and maintenance of proposal content libraries.
  • Collaborates with the Capture Manager to develop the content for client presentations and other presentation materials. 
  • Leads interview preparation meetings to prepare the team on how to present and respond to questions raised during their segment of the presentation or during a client interview.
  • Provides interview coaching to technical staff and feedback to interview presenters during practice runs to ensure that the team is totally prepared.


Bachelor degree in Marketing/Business or Other

Other degrees

  • BSc. Degree level or equivalent professional qualification.
  • An engineering discipline or project management is preferred.
  • Master’s Degree in Business Administration (MBA) is preferred. Strong project management skills; PMP certification will be an asset.•

Technical skills

  • Strong project management skills;
  • PMP certification will be an asset.
  • A minimum of 10 years working experience in a proposals or business development or project engineering role, ideally in a professional engineering consultancy services work environment
  • Professional working experience in the Middle East would be an asset. 
  • Experience of preparation and management of large program management proposals and/or proposals involving Alternate Project Delivery (design-build/public private partnerships) from start to finish.
  • Highly proficient in written and verbal English
  • Proficient in utilizing Adobe Creative Suite (Adobe InDesign, Illustrator, Acrobat Pro, and Photoshop) and Microsoft Office Suite software (Word, Excel, and PowerPoint) to produce, or provide guidance for the production of, documents and presentations in a demanding time frame.

  • Detail oriented.
  • Must possess excellent written, interpersonal, and communication skills, as well as outstanding organizational and time management skills, and be capable of leading a small team of employees.
  • Must be able to inspire outstanding work from team members with a range of experience and technical abilities in the development of proposal documents.
  • Must be capable of adapting to changing priorities in a very dynamic work environment and demonstrate the ability to exercise tact and diplomacy to effectively resolve quality and production problems in stressful situations with critical deadlines.
  • The individual is required to work on multiple assignments, with overlapping schedules, and needs to be able to multitask and delegate responsibilities to team members to accomplish all tasks
