To provide overalladministrative and logistic support to the Talent Acquisition teamto ensure efficiency and effectiveness of all recruitment processesand systems to ensure an exceptional recruitment, selection and onboarding experience for both the candidate and line managers.
Recruitment Logistic & Administration Support: Provide overall administrative andlogistic support across the recruitment and selection process fromposition posting and advertising, to screening and shortlisting,scheduling interviews, conducting reference checks and preparingpre-employment onboarding documentation in a timely, efficient andeffective manner that results in high level of service satisfactionfrom managers and prospective candidates. Central Point of Contact: Be the first point of contact (meet & greet) forrecruiting managers and candidates, creating a positive firstimpression and ensuring that all requests for recruitment detailsand other general queries are responded to swiftly andprofessionally.
Vacancy &Recruitment Requisition Approval Receive andprocess all vacancies to be filled by checking each vacancy has anupdated position profile, is approved on a structure and isattached to an approved Recruitment Requisition form to ensure thatrelevant documentations obtained efficiently in order to speed upadvertising of the position. Vacancy Position Posting: Draft andpost positions to be filled on relevant internal and externalrecruitment job websites, notice boards and digital recruitmentmedia channels for maximum exposure within agreed timelines toreceive applications .
Ensure that all channels are kept up-todate, removing vacancies once expired. Digital/e-Recruitment : Utilize social media in orderto give more exposure and traffic to vacancies to attract bothpassive and active candidates. This will include the use ofTwitter, Linked
In and Facebook as and when appropriate. Screening and Shortlisting:
Conduct CV screening in accordance withrequired job role and skill requirements to sort, rank andshortlist eligible candidates to present to line managers for finalinterview selection. Schedule Candidate Interviews Schedule interviews with shortlisted candidates andinterview panel members to ensure that that all parties aretimeously briefed on date and time of interviews in a professionaland pleasing manner. This will include logistics for room bookings,Skype calls, preparation of interview packs (candidates
CV's, copy of position profile and interviewguideline/scoring sheet) and provision of refreshment ifrequired.
Data Maintenance & Reporting: Maintainall recruitment related records and filing in a systematized andordered manner to ensure that all documentation is securely storedand saved (both soft & hard copies and as required perguidelines and legal requirements. This will also include theregular updating of the recruitment database, HRIS, and trackingsystems order to keep up-to-date records of both vacancies andapplicants.
Checks: Provide reference checks on allprovisionally selected candidates to ensure that previousexperience, track record and qualifications are accurate and meetthe job role requirements. Reference checks will includetelephonic, email and online checks from creditable sources andreference provided by the candidate to ensure that all new recruitsmeet recruitment policy requirements.
