Basic Purpose of the role
Responsible for planning, directing, organizing and coordinating the overall activities and functions of the patient experience department/section. This responsibility requires achieving and maintaining professional standards within the department, ensuring the efficiency and quality of services provided and proper delegation and supervision of daily departmental/sectional tasks and duties.
Key responsibilities of the role
Setting up of the long term plan for the overall functioning of the patient experience department
Directing and recommending appropriate departmental goals, objectives, systems, programs and priorities
Proposing modifications to the existing departmental structures
Creating department plans, annual budget and performance measurement metrics using fact based methodology and appropriate benchmarking
Monitoring and keeping expenditure within budget
Overseeing the administration of the department/section, including performance evaluations, personnel-related issues and hiring and directing key program staff
Ensuring facility achieves key performance targets; in particular targets associated with length of stay and patient satisfaction
Ensuring the timely production of required reports to include departmental performance and productivity statistics
Ensuring that facility mission and strategic goals are integrated in all departmental/sectional programs
Providing leadership, guidance and support to the team in a manner that promotes collaboration, open communication, creative problem-solving and professional development
Working effectively with the leadership incorporating best practices within facility
Organizing the entire departmental/sectional structure
Checking workload, ensuring performance management, day to day supervision, training and orientation of the staff
Receiving reports from Managers to ensure all patients’ needs are being met according to the facility regulations
Building and maintaining good relationships with all facility departments/sections to ensure patient satisfaction
Providing support to clients through the development of new programs reflecting best global and regional practices
Providing consultative services to the facility’s leadership and employees on all related matters, including involvement in actual working of the department for monitoring the customer service levels
Representing the Patient Experience department/section in meetings and conferences related to patient experience
Carrying out any other duties as assigned within the overall context and limits of this job description
Other responsibilities
Ensuring patients’ needs are central to the service and that appropriate and timely information is provided to all patients, and their relatives
Reviewing regular facility survey result trends and ensuring results are communicated and incorporate into process improvement initiatives
Maintaining collaborative and effective relationships with other key management personnel and keeping abreast of significant economic, social and technical trends, and regulatory guidelines, which may influence assigned patient services and/or the facility
Building key partnerships within the organization in pursuing client-centered, comprehensive, integrated systems of care
Liaising with clinical departmental/division heads and other appropriate facility personnel to ensure teamwork in the coordination and integration of service delivery
