Role Purpose:

The role holder is responsible for providing operational and administrative support to the CEO by performing a variety of secretarial and clerical duties which require considerable independent action and judgment.

Principal Accountabilities:

Performs routine office duties such as answering phones, filing, photocopying, shredding, sorting/distributing/sending mail.

Manages calendars and multiple schedules to ensure the CEO attendance at scheduled, critical meetings.

Summarises, documents and prepares miscellaneous background documents as necessary.

Receives, distributes and evaluates mail to identify those items requiring priority attention of the CEO

Compiles, coordinates and enters data into various databases including recurring report due dates, controlled correspondences.

Receives and screens communications to the respective CEO, including telephone calls and e-mail messages, and provides assistance using independent judgment to determine that which requires priority attention; prioritises, channels, and facilitates communications with other departments.

Independently responds to letters and general correspondence of a routine nature.

Makes travel arrangements for the CEO and maintains appointment schedules and calendars as well as arranges meetings and conferences.

Facilitates communications with internal and external contacts by screening calls, visitors, mail, answering questions and furnishing information or referring to appropriate responder.

Customers / Stakeholders

Internal Stakeholders include all employees for coordinating on various record keeping/retrieval activities.

Providing reports and documentation when required from departments.

External stakeholders include communicating and coordinating (scheduling, correspondence, appointments, etc.) on behalf of the CEO.

Take personal responsibility for understanding and agreeing performance expectations, completing the necessary mandatory training and developing the levels of capability and competence needed to be effective in the role.

Knowledge & Experience / Qualifications:

Qualifications:

Proficiency in both English and Arabic ( Written & Verbal)

Excellent organizational and time-management skills

Excellent communication skills

Integrity and confidentiality

Proficient in MS Office

Experience :

Bachelor degree with (0) experience or Diploma with relevant experience.
