Role / Team Overview
The RoleThe Executive Assistant (EA) / Office Manager will report directly to Savills, Head of Saudi Arabia, providing administrative support and running the day-to-day office operations.
Key Responsibilities
Manage diary, schedule external/ internal meetings, prepare agendas, minute taking & following up on action points
Travel & accommodation bookings, as required
Prepare, proof and/or edit correspondence, communications, presentations
Answer calls, handling in a professional and efficient manner, ensuring messages (if any) are forwarded to the correct individuals
Expense and other Ad-hoc Reports
Create and maintain an efficient filing system
Organise events & activities such as office parties, breakfast presentations and social events
Meeting Room management
Monitor Office Assistants/Receptionists duties and responsibilities as well as the driver driver’s daily schedule
Attend to visitors if Office Assistant/Receptionist is unavailable
Manage the contractors for office maintenance
Arrange collection of recyclable materials
Coordinate with regional IT team for office/staff requirements
Internet & Comms – liaise with suppliers regarding issues, monitor bills & contract expiry
Monitor and update IT Device Movement Tracker
Obtain quotations as per best practice, prepare LPO’s
Pantry and Stationery supply and inventory
Partner with HR to update and maintain office policies as necessary
Provide general support to visitors
ESG coordinator
Internal Admin Audits
Responsible for website information to be up to dated
Assist with social media tasks when required.
Skills, Knowledge And Experience
Saudi National
Fluent in Arabic and English
Educated to Bachelor`s degree level
At least three years’ experience in a similar EA or Office Management/ Administrative role
Well-developed interpersonal skills, ability to build and sustain relationships with clients and colleagues
High level of written and verbal communication skills
Proficiency in Microsoft Office (Word, Excel, PowerPoint)
Ability to work on own initiative and have a proactive, positive approach
Flexibility and adaptability to juggle a range of different tasks and to work extra hours to meet deadlines
Discretion and understanding of confidential matters.
