Seddiqi Holding is looking for an Assistant Executive Office Manager who will be a Primary point of contact for internal and external parties on all matters pertaining to the Office of the CHCO. Serves as a liaison with the Management teams; day to day operations of the Executive offices, organizes and coordinates external relations; and oversees special projects as required.
Key Responsibilities
Completes a broad variety of administrative tasks for the CHCO including managing an extremely active calendar of appointments; completing reports; composing and preparing correspondence of confidential nature; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for meetings or appointments.
Deals with correspondence addressed to the CHCO’s attention. Manages communication by screening calls, letters and emails. Determines matters that require priority and brings to the Executives attention. Provides for smooth communication between the office, internal departments and external parties.
Receives and interacts with visitors. Handles restaurant reservation and hospitality arrangements.
Plans, coordinates and ensures the Executive’s schedule is followed and respected. Makes judgments and recommendations to ensure smooth day-to-day engagements.
Drafting and writing high quality reports, presentations, communications to internal and external parties as required by the Executives.
Manages contacts using Outlook to conduct up-to-date database entry, tracks VIP relations and correspondence; facilitates relationships by familiarizing his/herself with regular and upcoming events.
Works closely and effectively with the Executives to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
Prioritizes conflicting needs; handle matters expeditiously, proactively, and follows-through on projects to successful completion.
Assists in coordinating the agenda of senior management team meetings, off-sites and general staff meetings.
Identifies, anticipates and prepares information requirements for meetings, appointments, presentations and follows up accordingly.
Ensures proper filing, collation and distribution of documents, notes and correspondence.
Deals with matters requiring attention or refer them to the appropriate person in the absence of the Chief Officer.
In order to be successful in this role, you should have:
5-8 years job related experience in supporting C-Level Executive
Proven experience as an Office manager, Front office manager or Administrative Assistant
