We are looking for Administrator for our company in Dubai, U.A.E.

Job Title: Administrator/Secretary/HR Assistant

The objectives of the position:

1. Providing conditions for comfortable and productive continuous operation of all office employees.

Area of responsibility:

1. Office management – ensuring the operational activities of the office (monitoring office supplies and ordering replacements, cleaning, equipment serviceability, etc.).

1. Performing administrative and reference tasks on behalf of the CEO and Business assistant.

1. Secretariat.

Role functionality:

Office-management:

1. Periodic collection of needs and ordering of office supplies, hygiene products, water, tea/coffee/biscuits, and other consumables;

2. Monitoring the serviceability of household and office equipment for general use, ordering preventive maintenance and repair services in service companies;

3. Opening and closing an office, setting/removing alarm systems, providing access control to the office (issuing and activating key cards, etc.)

4. Ensuring and monitoring the quality of cleaning and hygiene of the office (ordering services of daily and general cleaning, washing windows, etc.; caring plants in the office – if any);

5. Monitoring compliance with mandatory deadlines and actions in accordance with the legal law (fire safety, compliance with quarantine measures by office guests, etc.)

Performing tasks on behalf of the CEO and Business assistant:

1. Searching information in open sources;

2. Drawing up simple reports of general topics;

3. Calling and clarifying information from counterparties;

4. Filling out documents/templates in the prescribed form;

5. etc.

Secretariat:

1. Receiving/sending correspondence and calls, forwarding information to responsible managers;

2. Meeting and accompanying guests in the office;

3. Preparing drinks for the guests of the office and the head of the company;

4. Keeping a schedule of the workload of corporate transport;

5. Meeting minutes (assisted by CEO and Business assistant);

6. Distributing of general information materials to the office staff;

7. Controlling of the time- in/out of employees to the office, preparation of a report for HR manager and Business assistant;

8. Updating directories of contacts of contractors, state. bodies, employees.

KPI’s:

1. Completing task on time (80%);

2. All consumables are always available (20%).
